About this policy

Repro Connect is operated by Repro Australia. This policy explains how personal information is collected, used, stored and disclosed when people use Repro Connect, and how individuals can contact us about their information. Repro Connect is primarily a business and staff application used to manage contacts, communications, tasks, documents, events and related operational records.

Information we collect

Depending on how Repro Connect is used, information stored or processed through the app may include:

• account and staff information, including name, email address, user identifier, job title, role and profile image;
• client and business contact information, including names, email addresses, phone numbers, mobile numbers, companies and addresses;
• CRM information entered by authorised users, including notes, tags, age, spouse or partner name, children's names, referral details and other relationship or business notes;
• tasks, calendars, events, stock-take records, activity records and other operational information;
• documents, images and other files uploaded to the app;
• communications and interaction records, including SMS content sent through Repro Connect and, when a user connects Gmail and uses the relevant feature, email information used to send messages or import relevant replies into a contact's interaction history; and
• usage and technical information necessary to operate, secure and maintain the service, including app interactions, session information and page or feature activity generated through Base44's built-in analytics.

Repro Connect does not access a user's device contacts or precise device location unless a feature that requires that access is introduced and the required permission is requested. This policy will be updated if the app's data practices materially change.

How we use information

We use information handled through Repro Connect to:

• provide, authenticate, administer and secure user accounts;
• operate Repro Australia's CRM, staff, task, calendar, document and workflow features;
• record and manage communications and relationships with clients and other business contacts;
• send communications requested by authorised users, including email and SMS;
• understand use of Repro Connect, maintain business records, troubleshoot problems and improve the reliability of the app; and
• meet legal, regulatory, security and record-keeping obligations where applicable.

We do not use personal information collected through Repro Connect to track users across other companies' apps or websites for advertising.

Service providers and integrations

Repro Australia uses service providers to host and operate Repro Connect and to provide particular functions. These include Base44 for application infrastructure and services. When authorised features are used, information may also be processed by connected providers such as Google/Gmail for email functions and Tall Bob for SMS delivery. Other infrastructure or subprocessors may be used by those providers to deliver their services.

We disclose or make information available to service providers only as reasonably necessary to provide the relevant service, administer Repro Connect, protect our systems, or comply with law. A user's decision to connect a third-party account may also be subject to that provider's own privacy terms.

Access within Repro Connect

Repro Connect is intended for authorised users. Information may be accessible to other authorised Repro Australia users where this is necessary for shared CRM, operational or administrative functions. Access may vary according to a user's role and the feature being used.

Storage, security and overseas processing

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Repro Connect relies on cloud and third-party technology providers, and information may therefore be stored or processed on systems located outside Australia. No internet or cloud service can be guaranteed to be completely secure.

Retention and deletion

We retain information for as long as it is reasonably required for the purposes described in this policy, for legitimate business and record-keeping needs, or as required by law. Retention periods can differ depending on the type of record and the reason it is held.

Repro Connect provides an in-app option for a user to delete their own account. Account deletion removes the user's access; some business records, communications, audit information, backups or records relating to other people may need to be retained where reasonably necessary or legally required. Individuals may also contact us to request access, correction or deletion of personal information. We will assess requests in accordance with applicable law and our legitimate record-keeping obligations.
